Job Description

We are seeking an experienced Administrative Assistant to join our team supporting detention/correctional or residential healthcare operations project for our government customer in Alexandria, LA.

Key Responsibilities:

  • Input various materials including memoranda, meeting minutes, letters, briefing materials, and reports.
  • Maintain office files, databases, and electronic spreadsheets, including timesheets, leave requests, contract documents, and invoices.
  • Ensure confidentiality of all records, including medical and personnel records, PII, and sensitive office matters.
  • Arrange meetings, make reservations for conference rooms, and notify participants.
  • Screen visitors and telephone calls to the medical facility and refer callers as necessary.
  • Independently accomplish tasks and seek guidance when needed.
  • Maintain calendar, schedule appointments, and remind customers of meetings.
  • Control incoming and outgoing correspondence and action documents.
  • Process requests for information in accordance with the Fair Information Practice Principles and Privacy Act.
  • Perform record-keeping functions in accordance with program policies and position.
  • Maintain proficiency in electronic health records and perform duties of Medical Records Technician as needed.
  • Complete initial, annual, and ad-hoc training as required.
  • Serve as a team member for analyzing established protocol practices and identifying areas for improvement.

Requirements:

  • Associate's degree preferred; High School Diploma minimally acceptable.
  • Minimum one year of direct experience in a healthcare setting as an Administrative Assistant.
  • Ability to obtain/maintain security clearance and pre-employment medical clearance.
  • Strong communication skills in verbal and written formats.
  • Excellent interpersonal skills.
  • Proficient in Microsoft Office (MS Word, Excel, PowerPoint, Outlook, and SharePoint).
