Position Overview
This role involves providing comprehensive administrative assistance within the Appeals Division, which plays a crucial role in the organization. The selected candidate will be expected to:
  • Support various Appeals locations as specified in the announcement.
Key Responsibilities
The following duties are expected at the full working level:

1. Evaluate and assess existing office protocols and directives to ensure alignment with established policies and procedures, while identifying areas for improvement and suggesting corrective measures.

2. Maintain an understanding of the Area Directors' perspectives on administrative challenges and work situations that do not necessitate in-depth technical knowledge of Appeals matters.

3. Analyze and identify trends impacting administrative functions within the organization, proposing new or revised procedures to address potential or existing issues.

4. Assist in operational assessments and special initiatives led by the Directors.

5. Compile requested data and statistics; conduct research on various topics; summarize findings and prepare necessary documentation for reports and correspondence for the Area Directors.

6. Develop, implement, and manage systems for organizing and accessing files (both electronic and paper), ensuring proper maintenance, transfer, and disposal of records, along with creating reference indices and related services.

7. Safeguard confidential files required by the Area Directors and maintain other administrative records in the office.

8. Prepare and review sensitive documents, ensuring accuracy and confidentiality.

9. Generate and maintain regular and ad hoc reports utilizing established formats and information sources relevant to the program.

Qualifications
To qualify for this position, candidates must meet the following criteria:
Specialized Experience:
Applicants must possess at least one year of specialized experience equivalent to the GS-06 grade level in the Federal service, which includes:
  • Providing administrative support, such as gathering and analyzing information for management, drafting correspondence, and managing calendars.
  • Delivering presentations on new office procedures during group meetings.
  • Utilizing problem-solving skills to analyze facts and recommend solutions.
  • Exhibiting effective communication skills, both written and verbal.
Typing Proficiency:
Candidates must demonstrate typing proficiency with a minimum speed of 40 words per minute, verified through a standardized test.
Education:
For positions requiring educational qualifications, applicants must submit transcripts or equivalent documentation. Foreign education credentials must be evaluated for equivalency to U.S. standards.
