Position Overview: The role of the Administrative Support Assistant involves providing essential support within the Appeals Division, a critical unit dedicated to handling administrative functions effectively.
Key Responsibilities:
- Analyze and assess existing office procedures and directives to ensure compliance with established policies and clarity, while recommending necessary adjustments.
- Facilitate understanding of the Area Directors' perspectives on various administrative challenges that do not require extensive technical knowledge.
- Monitor and identify trends impacting administrative operations, proposing new or revised procedures to address potential or existing issues.
- Assist in operational reviews and special projects initiated by the Directors.
- Compile requested data and statistics, conduct research on diverse issues, and prepare comprehensive documentation for reports and correspondence.
- Establish and maintain systems for organizing and accessing files, both electronic and paper, ensuring proper management of records and related services.
- Safeguard confidential files as required by the Area Directors, preparing and reviewing sensitive documents.
- Generate recurring and ad hoc reports utilizing established formats and relevant information sources.
Qualifications:
Applicants must demonstrate specialized experience equivalent to the GS-06 grade level in the Federal service, which includes:
- Providing comprehensive office administrative support, including data gathering and analysis for management presentations, correspondence preparation, and calendar management.
- Delivering presentations on new office procedures during group meetings.
- Employing problem-solving skills to analyze situations and recommend solutions.
- Exhibiting effective communication skills, both written and verbal.
Typing Proficiency: Candidates must possess typing proficiency and office automation skills, with a minimum typing speed of 40 words per minute.
Education: Educational qualifications may be considered in lieu of experience, and applicants should provide transcripts if applicable.
This position may involve a probationary period and requires adherence to specific employment conditions.
