Position Overview:

This role is based in Phoenix, Arizona, with working hours from Monday to Friday, 8 AM to 5 PM. The Purchasing Assistant will be responsible for:

  • Facilitating local procurement of frozen and dry food products, including developing vendor relationships, ensuring quality, negotiating prices, managing logistics, and assisting in product development.
  • Calculating costs and pricing to establish profit margins.
  • Processing receipts and invoices promptly for payment.
  • Setting up stock numbers and maintaining accurate records in the Company AS400 system.
  • Ensuring compliance with FDA and USDA regulations by upholding HACCP and CAPA food safety standards.
  • Collaborating with the warehouse team to guarantee the correct quantity and quality of received goods.
  • Creating purchase orders based on sales volume and inventory levels.
  • Managing inventory levels, including focus sales, slow-moving items, and low stock.
  • Leading bi-weekly sales meetings to discuss product and inventory updates.
  • Coordinating semiannual inventory counts.
  • Participating in company events and functions outside of regular hours as necessary.
  • Assisting in the development of marketing strategies.
  • Performing additional duties as assigned by the department manager.
  • Responding to management inquiries as required.

Physical Requirements:

  • Ability to remain seated in an office environment for extended periods.
  • Proficiency in typing and using a computer for prolonged durations.
  • Capability to reach, bend, kneel, and occasionally lift up to 30 pounds.

Qualifications:

  • Business-level proficiency in English (reading, writing, speaking, listening).
  • Preferred: Business-level proficiency in Japanese, Chinese, or Korean.
  • Positive attitude and ability to work both independently and collaboratively.
  • Adaptability to frequent changes in tasks and workload.
  • High School Diploma or equivalent is required.
  • A minimum of 2 years of relevant experience, preferably in the food industry.

Skills and Knowledge:

  • Intermediate mathematical skills for profit margin calculations, markups, discounts, and inventory counting.
  • Strong problem-solving and multitasking abilities.
  • Exceptional organizational and time management skills.
  • Advanced proficiency in Microsoft Office applications.
  • Effective communication and interpersonal skills.
  • Familiarity with Japanese foods and sake is preferred.
