Job Overview

Position Summary
The Service Dispatcher plays a crucial role in executing various support functions to assist office and field operations led by Project Managers and Senior Project Managers. This position serves as a vital link between field personnel and the accounting department.

Key Responsibilities

  • Manage dispatch operations.
  • Handle incoming customer calls and collaborate with field supervisors to allocate technicians effectively.
  • Create work orders in the Viewpoint system.
  • Communicate timelines for issue resolution to customers.
  • Organize technician schedules using the dispatch board.
  • Follow up with technicians regarding issue resolutions.
  • Review documentation for accuracy regarding completed tasks.
  • Ensure all costs and time are accurately recorded in work orders.
  • Prepare work orders for billing and assist with the billing process.
  • Inform customers about the completion of services.
  • Initiate work orders for quoted jobs with corresponding budgets.
  • Coordinate with field supervisors to assign technicians to quoted work.
  • Oversee preventative maintenance tasks.
  • Collaborate with field supervisors to schedule planned services in accordance with contractual commitments.
  • Review and archive inspection reports from each service visit.
  • Ensure adherence to contractual obligations and clearly communicate expectations.
  • Assist with purchasing tasks related to service operations.
  • Provide purchase order support to the purchasing department.
  • Review, update, and reconcile open purchase orders at month-end.
  • Handle service billing responsibilities.
  • Examine work orders marked as ready for billing in Viewpoint.
  • Review notes and track down any missing information.
  • Monitor agreement costs and issue billings to customers as per agreements.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of two (2) years of experience in project assistance, project coordination, administrative support, or a related field within construction, HVAC, or similar industries.

Skills and Competencies

  • Understanding of basic office procedures and operations.
  • Familiarity with file and records management principles.
  • Basic knowledge of bookkeeping and accounting principles.
  • Effective communication skills.
  • Ability to work independently and manage time efficiently.
  • Capability to respond effectively to common inquiries or complaints from customers and staff.
  • Knowledge of Veregy's services and processes is essential, which can be acquired through dedication and technical inclination.
  • Ability to follow instructions provided in written, oral, or diagram form.
  • Capacity to work both independently and collaboratively in a dynamic environment.
  • Ability to work under pressure and extend hours when necessary.
