Job Summary

This role is for a skilled Receptionist to join our Office Services Department in New York. The ideal candidate will provide exceptional support to our team and be responsible for managing the front desk, handling phone calls, and ensuring the smooth operation of our office.

Key Responsibilities
  • Provide a warm welcome to guests and direct them to assigned conference rooms as needed.
  • Act as the primary point of contact during working hours, answering and directing all incoming phone calls.
  • Ensure guests are properly registered with building security and maintain confidentiality.
  • Issue new or replacement key cards to employees and collect temporary key cards from visitors.
  • Assist with hospitality requests, such as creating menu designs and placing food and beverage orders.
  • Manage the daily conference room schedule and maintain the appearance of conference rooms.
  • Monitor and check the general voice mailbox every morning.
  • Provide backup phone coverage for our Chicago office.
  • Update monthly Zoom signage in all GCM conference rooms.
  • Perform general administrative duties and projects as needed.
Requirements
  • An associate degree or equivalent work experience is required.
  • A minimum of 2 years of related professional experience interacting with executive and senior management is preferred.
  • Business professional attire is mandatory.
  • Proficient knowledge of Microsoft Office Suite is essential.
  • Outstanding verbal and written communication skills are required.
  • A high degree of integrity and the ability to recognize confidentiality requirements are essential.
  • Demonstrated initiative and ability to work in a fast-paced, changing environment is necessary.
  • Proven ability to work both independently and within a team is required.
  • Proven experience successfully managing multiple priorities with competing deadlines in a professional and efficient manner is essential.
  • Outstanding organization, decision-making, and problem-solving skills are required.
  • Ability to take control and manage tasks independently to closure is necessary.
  • Flexibility and adaptability to various changing working conditions based on priorities are essential.
