The Receptionist will be responsible for managing the front desk, providing exceptional customer service, and supporting internal staff with administrative tasks.

Responsibilities
  1. Greet clients, visitors, and staff in a courteous and professional manner, ensuring a warm welcome.
  2. Answer phone calls, direct inquiries to the appropriate departments, and take detailed messages.
  3. Manage the company's main calendar, including scheduling and coordinating internal meetings and conference room bookings.
  4. Ensure the front desk, lobby, and conference rooms are tidy and well-maintained.
  5. Handle incoming and outgoing mail and distribute it to the appropriate departments.
  6. Maintain office inventory, including ordering office supplies, groceries, and managing stock levels in the kitchen and storage areas.
  7. Assist with office expense reports, tracking, and reconciliation.
  8. Occasionally assist with data entry and maintaining records in internal systems, including applicant tracking software (ATS).
  9. Provide support to staff with printing, faxing, and other office tasks.
  10. Coordinate and order lunches for meetings or company events.
  11. Address general inquiries from staff and visitors regarding office operations and policies.
Qualifications

2+ years of reception or administrative experience, preferably in a corporate or financial setting.

Proficient in Microsoft Word, Excel, and Outlook.

Strong attention to detail with the ability to retain and recall important information.

Friendly, positive demeanor with excellent interpersonal and communication skills.

Proven ability to meet deadlines and manage multiple tasks in a fast-paced environment.

Discretion and the ability to handle confidential information professionally.

Education Requirements

High school diploma is required.

Bachelor's degree is preferred.
