Responsibilities:

  • Provide direct support to the CEO, overseeing administrative tasks, managing calendars, coordinating meetings, and monitoring phone calls
  • Plan events, travel, and prepare documents, presentations, and publications
  • Manage office duties, including greeting visitors, confirming appointments, directing them to the proper person or office, answering phones, maintaining the company phone system, and reviewing and routing incoming and outgoing mail
  • Oversee the preparation, sending, and tracking of outgoing and incoming shipments
  • Ensure the kitchen, copy/supply room, and conference rooms are clean, stocked, and in orderly condition
  • Monitor marketing supplies and maintain them
  • Set up boardrooms for meetings, track and order office equipment and supplies, liaison for facility relations, and prepare printed materials for internal/external presentations and meetings as requested
  • Coordinate client holiday gifts, track and renew licensing for various states annually, edit and brand PDF files for distribution, assist with team projects, documents, editing, etc., monitor all company email boxes, and provide support to VP of Sales & Operations and other staff as needed
  • Monitor and maintain laptops/computer equipment and ensure equipment agreements are signed and on file
  • Assist in monitoring workflows in Smartsheet and maintaining website blog pages
  • Assist with Marketing, Social Media posts, and media/thought leadership for CEO
