United Talent Agency is looking for a Business Affairs Coordinator to join our dynamic team, providing essential administrative assistance to two Business Affairs Executives.

The Business Affairs Coordinator will be responsible for a range of administrative tasks and will play a vital role in the contract management process.

Ideal candidates should possess strong organizational skills with a keen attention to detail, alongside exceptional communication and writing capabilities.

Applicants must demonstrate the ability to juggle multiple projects in a fast-paced setting, experience in managing high call volumes and scheduling, and a genuine interest in the media sector.


Key Responsibilities:
• Phone management – respond to and redirect calls, arrange and coordinate conference calls (including multi-party, multi-time zone calls)
• Calendar management – oversee daily calendar activities; update, cancel, and confirm meetings. Organize and coordinate both in-office and offsite meetings.
• Oversee the contract management process, including tracking and processing agreements.

• Conduct research in existing agreements database to locate prior relevant contracts to assist Business Affairs executives in evaluating new deals.

• Support in proofreading tasks.
• Organize and maintain all client/project files to ensure all documentation is current.
• Draft and monitor play license agreements.
• The specific responsibilities will be tailored based on the candidate's demonstrated skills and experience.

Qualifications:
• Minimum of 1 year of administrative experience, ideally within a law firm, studio, or network (internships are acceptable)
• Bachelor’s degree is highly preferred
• Ability to comprehend and review basic contract language (e.g., understanding talent agreements and associated allowances)
• Capable of liaising with senior-level executives
• Proficient in collaborating with internal staff at all levels and external clients & executives
• Skilled in managing multiple projects simultaneously with minimal oversight
• Highly professional demeanor with sound judgment
• Excellent communication and organizational skills
• Ability to thrive under pressure in a fast-paced environment
• Positive attitude with a willingness to exceed expectations
• Strong attention to detail and exceptional organizational abilities
• General business acumen and a keen interest in the entertainment and media industries
• Proficient in Excel, PowerPoint, Adobe, Outlook, Word, and Internet research.
