Dickinson Cameron Construction is offering an excellent opportunity for an entry-level Project Coordinator in our organization.

The Project Coordinator plays a vital role in managing the administrative tasks and ensuring the smooth operation of all components within the project bidding team. This position involves assisting with foundational tasks alongside the project management team. The Project Coordinator serves as the primary contact for all ongoing bids and is responsible for adhering to established protocols to maintain departmental organization and efficiency. This role requires a commitment to flexibility, as project deadlines and requirements may frequently change.

Required Qualifications and Skills:

  • 1-2 years of experience in a commercial construction environment is preferred.
  • At least 3 years of administrative experience.
  • Proficiency in Microsoft Office, particularly Excel, is essential.
  • Basic understanding of construction plans is advantageous but not mandatory.
  • A Bachelor's Degree in construction management or a related field is a plus.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Experience with SharePoint is beneficial.
  • Excellent communication and interpersonal skills.

Key Responsibilities:

  • Utilize the subcontractor bid list to contact subcontractors nationwide, ensuring they receive our bid invitations, express interest, and confirm their commitment to bid.
  • Organize documentation for subcontractor change orders and update the relevant information in the system.
  • Ensure that bids are systematically organized and that adequate trade coverage is available for all proposals.
  • Employ effective communication skills to build trust and rapport with subcontractors through phone and email interactions.
  • Manage bid RFIs and distribute responses to the bid team and relevant subcontractors and suppliers.
  • Follow the Bid Roadmap to oversee the bid process from the receipt of RFPs to the submission of bid deliverables.
  • Generate subcontractor bid lists using the trade list in BidMail.
  • Download and correctly file bid documents and construction drawings on the office network drive.
  • Clarify bid documents and draft formal ITBs for distribution to subcontractors and suppliers.
  • Upload relevant bid documents and construction drawings to the BidMail plan room.
  • Maintain detailed notes in BidMail and update subcontractor contact information as needed.
  • Coordinate transportation and housing arrangements for superintendents within budget constraints.
  • Ensure that all documentation from the site is returned to the Project Coordinator for inclusion in the Closeout file.
  • Assist project coordinators during the closeout process by completing and organizing necessary tasks.
  • Organize invoices and complete credit card authorization forms.
  • Request current regulations prior to bidding or possession of the job site.
  • Order necessary materials for the worksite until delivery is completed.
  • Perform other clerical duties as assigned.

This position involves repetitive motions and substantial movements of the wrists, hands, and fingers. It requires the ability to communicate detailed instructions effectively. The role may involve lifting up to fifteen pounds occasionally and requires close visual acuity for tasks such as data analysis and transcribing.
