Office Administration and Billing Specialist

Position Summary
• Responsible for managing front office operations, including scheduling and handling phone communications.
• Executes coding, billing, and accounts receivable tasks, which encompass data entry for charges, payments, and adjustments.
Core Responsibilities and Front Office Management
- Collects and verifies patient charge documentation and reports.
- Gathers any missing details, such as charge slips, patient demographics, and insurance data.
- Inputs charge information into the billing software.
- Submits insurance claims and patient statements via mail or electronic transmission.
- Prepares necessary attachments, including copies of Explanation of Benefits, for secondary billing processes.
- Handles various payment methods, including cash, checks, and credit cards.
- Follows up on outstanding accounts receivable with patients and third-party payers, re-billing claims as necessary, and initiating correspondence or phone communication with patients and/or payers.
- Responds to incoming communications and inquiries.
- Organizes patient payment arrangements.
- Maintains comprehensive files for all documentation, including charge slips, Explanation of Benefits, and patient information.
- Generates and distributes relevant reports.
- Conducts medical practice analysis for assigned practitioner clients.
- Facilitates patient scheduling and coordination.

Qualifications
- Education: High school diploma or equivalent required.
- Experience: 2-3 years of relevant experience; or a suitable combination of education and experience.

- Service-oriented mindset.
- Familiarity with WebPT and Therabill is advantageous.
