Job Overview

Position Summary:

The Contractor will deliver comprehensive clerical support essential for the effective management of the USAO fact witness process, providing assistance to USAO Victim-Witness personnel, AUSAs, legal assistants, administrative staff, and other USAO team members.

Key Responsibilities:

  • Review, prepare, and manage a variety of standard legal documents, including indictments, criminal complaints, search warrants, judgments, applications, notices, affidavits, summonses, grand jury subpoenas, and proofs of claim.
  • Create tables of contents and indices for briefs following established formats.
  • Assess incoming materials to determine the need for assembling and preparing various legal documents, such as complaints, motions, orders, and pleadings.
  • Draft routine correspondence that requires familiarity with legal procedures and terminology, including transmittals of pleadings and notifications to attorneys.
  • Verify citations and statutory references in legal documents, ensuring accuracy and consistency with source materials.
  • Assist in organizing and preparing evidence for discovery and trial use.
  • Manage both paper and electronic evidence and documentation.
  • Support attorneys in trial preparation by compiling trial notebooks, jury instructions, and witness lists.
  • Maintain various types of evidence, including documents, audio files, and forensic reports.
  • Provide automated litigation assistance to attorneys during trial preparations and courtroom presentations.
  • Utilize software applications for technical support, including document duplication and exhibit marking.
  • Conduct document searches and coordinate document production.
  • Manage correspondence, briefs, witness interviews, and other related materials.
  • Collaborate with victim/witness specialists to ensure compliance with departmental guidelines regarding victims' rights.
  • Notify relevant personnel of victim/witness matters.
  • Assist with visitor and caller inquiries, providing information on office functions and procedures.
  • Determine urgency and referral needs for matters requiring AUSA attention.
  • Establish and maintain diverse filing systems.
  • Monitor litigation expenses and review invoices for budget office submission.
  • Maintain calendars for active cases and AUSA appointments, scheduling interviews and conferences.
  • Arrange travel logistics, including itineraries and reservations.
  • Assist in debt collection efforts for USAOs.
  • Perform data entry, asset searches, and prepare documents for filing.
  • Support civil and criminal enforcement efforts through various enforcement tasks.

Skills and Qualifications:

  • Strong attention to detail and ability to follow directions accurately.
  • Effective oral and written communication skills.
  • One year of experience in a related field is preferred.

Education:

  • A high school diploma is required; an undergraduate degree is preferred.
