Job Summary

VRC Companies is seeking an experienced Imaging Operations Supervisor to oversee the day-to-day operations of our Scanning, Data Capture & Digital Mailroom Services. The successful candidate will be responsible for managing a team of specialists and new employees, ensuring the delivery of high-quality services to our clients.

Key Responsibilities
  • Operational Performance Management: Oversee the overall operational performance of Scanning, Data Capture & Digital Mailroom Services, ensuring timely and accurate processing of client documents.
  • Team Management: Supervise a team of specialists and new employees, providing coaching and guidance to ensure they meet performance expectations.
  • Project Management: Delegate project tasks to team members based on their individual strengths, skill sets, and experience levels.
  • Capacity Planning: Assess capacity and establish SMART goals for operational output, ensuring the team is equipped to meet client demands.
  • Service Level Agreements: Develop and maintain service level agreements (SLAs) related to transaction processing, ensuring high-quality services are delivered to clients.
  • Job Profitability: Supervise daily productivity and tasks to ensure job profitability, both new and existing.
  • Operational Best Practices: Adhere to operational best practices, ensuring the team is following established procedures and guidelines.
  • Business Continuity: Supervise business continuity, focusing on staffing, equipment, and training to ensure seamless operations.
  • Quality and Consistency: Ensure the quality and consistency of work product daily, meeting client expectations.
  • Culture of Continuous Improvement: Encourage a culture of continuous improvement, comparing actual performance to goals and identifying areas for improvement.
  • Client Relationships: Supervise existing client relationships, supporting client requests and opportunities to expand the scope of work.
  • Business Growth: Promote and assist in the growth of VRC personnel, developing a high-performing operations team.
  • Departmental Goals: Work with the Operations Manager to establish and implement short- and long-range departmental goals and objectives.
  • Best Practice Sharing: Document and share best practice findings with counterparts and other VitalScan leaders.
  • Monthly Business Reporting: Ensure consistent monthly business reporting, aggregating and validating operations metrics.
  • Cost Allocation: Ensure accurate reporting and cost allocation for data feeding into the monthly P&L reports.
Requirements
  • Competencies: Demonstrate ability to communicate physical and digital records management best practices, thrive in a fast-paced environment, and possess strong problem-solving and process management skills.
  • Education and Experience: Bachelor's Degree or equivalent management experience (3+ years), proven management experience in a fast-paced production environment (3-5+ supervisory experience required).
  • Travel Requirements: Yes (30% work out of Tustin office, mileage reimbursement).
