Job Summary

Volunteers of America is seeking a highly organized and detail-oriented Assistant Manager to join our team. As a key member of our property operations team, you will be responsible for ensuring the timely and accurate completion of various tasks, including application processing, certification, and recertification. You will also assist the Community Administrator in addressing the daily needs and issues of residents and be responsible for property operations in their absence.

Key Responsibilities
  • Application Processing: Process applications, certifications, re-certifications, and interim certifications by conducting applicant/resident interviews, obtaining 3rd verifications as necessary, calculating income/assets/medical expenses, and entering data into the property management software.
  • Lease Execution: Execute applicant lease documents in accordance with Volunteers of America policy and procedure.
  • Financial Management: Collect and post resident rents and utilities, deliver rent delinquency notices, and review resident ledgers to reconcile accounts.
  • Waitlist Management: Maintain applicant waitlist and resident files in accordance with program regulations, conduct semi-annual waitlist updates, and compile program required documents for annual financial audit.
  • Invoice Management: Enter coded invoices into property management software.
  • Property Maintenance: Monitor the property and resolve minor issues, escalating more serious issues in the absence of the Community Administrator.
  • Collaboration: Collaborate with Service Coordinators to enhance resident quality of life.
  • Training and Certification: Mandatory COS Certification, LIHTC, and Fair Housing training required to be obtained through outside agencies as designated by VOA Colorado within 1 year of employment.
  • Attendance and Performance: Predictable, consistent attendance and performs all other duties as assigned.
Requirements
  • Education: High school diploma or its equivalent and one-year administrative/clerical office experience.
  • Experience: One year of apartment management experience.
  • Math and Computer Skills: Basic math aptitude and knowledge of computer operations, including databases and spreadsheets.
  • Communication and Organization: Demonstrated ability to communicate effectively and maintain good relations with residents and employees, with good organization skills and the ability to multi-task.
  • Knowledge and Compliance: Knowledge of Fair Housing Laws, state landlord/tenant rights and obligations.
