Position Overview

Reporting directly to the Facility Manager, the Facility Administrative Assistant plays a crucial role in supporting our management team, Human Resources, and daily operations.

This diverse position requires initiative, strong organizational skills, and proficiency in the Microsoft Office suite. Key responsibilities include:

  • Assisting with HR administrative tasks such as recruitment, interview scheduling, onboarding, training updates, and benefits administration.
  • Providing confidential support in addressing employee matters as needed.
  • Communicating corporate, regional, and facility announcements and initiatives.
  • Acting as a liaison for IT and telephone support, assisting staff with technical inquiries.
  • Coordinating timekeeping assistance and resolving related issues.
  • Collaborating with Payroll on job status changes and maintaining accurate records.
  • Organizing and facilitating meetings and events, including tours, training sessions, and company gatherings.
  • Preparing and updating spreadsheets, presentations, and reports for management, including operations, safety, and environmental metrics.
  • Maintaining facility documents and offsite storage in line with retention policies.
  • Supporting community relations and various projects.
  • Assisting the Facility Safety Coordinator in managing safety documentation and databases, tracking safety training, and administering the Medical Surveillance program.
  • Performing basic accounting and purchasing duties.
  • Providing administrative support to the Facility Manager and other management staff as required.
  • Handling supply orders, mail distribution, meeting arrangements, travel logistics, and employee expense reimbursements.
Preferred Schedule

7:30 AM to 4 PM, on-site, with occasional overtime.

Qualifications
  • GED or High School Diploma.
  • Advanced proficiency in MS Excel, PowerPoint, and Outlook.
  • A minimum of 5 years of experience in Executive or Office Administration.
  • Experience in accounting-related functions is preferred.
  • Exceptional time management skills with the ability to multitask and prioritize effectively.
Physical Requirements

While performing the duties of this role, the employee may frequently be required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.
