Event Management Specialist

PHP Agency, LLC is in search of an Event Management Specialist to enhance our dynamic Marketing & Events department.

Founded in 2009 by innovative entrepreneur Patrick Bet-David, PHP is a national life insurance field marketing organization dedicated to providing a diverse range of insurance products tailored for the middle-class market. With nearly 30,000 licensed agents, PHP is committed to serving our clients through a robust field sales force. Our headquarters are located in the Dallas metroplex.

We are looking for a self-motivated and goal-oriented individual who consistently aims to exceed expectations while maintaining a positive attitude.

Reporting to the Director of Events, this role is crucial in organizing and managing both internal and external relations efforts, as well as overseeing various special projects and events. The ideal candidate will thrive in a small, entrepreneurial setting that values mission-driven and community-oriented work. Strong judgment, excellent communication skills, and the ability to juggle multiple priorities are essential for success in this position. The Event Management Specialist must also handle a variety of tasks and sensitive matters with discretion.

Key Responsibilities:

  • Collaborate with the recognition team to source and organize event acknowledgments.
  • Design, implement, and sustain employee recognition initiatives.
  • Oversee preparation for onsite meetings, including ordering supplies and managing the logistics of event materials.
  • Coordinate travel arrangements, accommodations, and expenses for meeting participants.
  • Manage project deliverables in collaboration with team members to ensure timely completion.
  • Communicate and track correspondence with speakers and sponsors/exhibitors.
  • Simultaneously manage multiple national meetings, ranging from small gatherings to large conferences.
  • Assist the team with daily administrative tasks, including maintaining the meeting and event project planner.
  • Support the expense reporting process for the team.
  • Draft and prepare correspondence, manage complex travel plans, and compile meeting documents.
  • Handle incoming calls and emails, addressing issues appropriately and relaying messages.
  • Complete critical aspects of deliverables with a proactive approach, including drafting acknowledgment letters and personal correspondence.
  • Prioritize conflicting needs and manage tasks efficiently under deadline pressures.
  • Perform additional duties as assigned.
  • This position requires in-office work and entails up to 20% travel.
  • Engage in a monthly book club as part of personal development and KPIs.

Qualifications & Experience:

  • Demonstrated strong organizational skills with the ability to manage and prioritize multiple tasks effectively.
  • Three to five years of experience in supporting or coordinating meetings and events.
  • Certification as a Meeting Planner (CMP) is a plus but not mandatory.

Skills & Abilities:

  • Exceptional interpersonal skills with a talent for building relationships.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and various social media platforms.
  • Ability to learn new software, including project management tools and event registration systems.
  • Strong research capabilities and the ability to present data clearly and concisely.
  • Ability to work independently while exercising professional discretion.
  • Excellent writing, editing, and organizational skills.
  • Ability to collaborate effectively with a diverse range of individuals.
  • Knowledge of additional languages and international customs is advantageous; proficiency in Spanish is beneficial.
  • Outstanding time management and problem-solving skills.
  • Strong negotiation and selling abilities.
