Job Summary

The Administrative Assistant will provide administrative support to the CEO and CGO, as well as the executive team, to facilitate the efficient operation of the organization. The ideal candidate will possess high standards, excellent communication skills, initiative, and the ability to prioritize daily tasks.

Key Responsibilities
  • Assist the CEO and CGO with day-to-day needs, including scheduling, meeting preparation, travel arrangements, and expense reports.
  • Plan and execute office events in coordination with the Executive Admin.
  • Receive and direct visitors, clients, and mail.
  • Prepare agendas for meetings and record, compile, and distribute minutes of meetings as needed.
  • Assist in planning and coordinating meetings, conferences, and company-wide events, including logistics, event planning, materials preparation, and follow-up actions.
  • Maintain office supply inventories and snack bar and drinks inventory.
  • Maintain a clean and tidy office space.
  • Set up workstations, assemble office equipment for staff, and assist in onboarding new hires.
  • Handle requests for information and data.
  • Provide ad-hoc support for the leadership team or other departments as needed.
Requirements
  • Able to multitask, prioritize, and manage time effectively while remaining adaptable and able to pivot quickly.
  • A team player with a cheerful and positive attitude.
  • Attention to detail and accuracy.
  • Self-motivated and self-directed, able to work independently with minimal supervision, while also collaborating effectively in a team.
  • Strong interpersonal and customer service skills with a strong sense of professionalism.
  • Excellent verbal and written communication skills.
  • Proficient in MS Office, databases, and information systems.
  • Able to organize and assemble office equipment and shelving.
  • Ability to carry 30 lb boxes.
Qualifications
  • 2+ years of proven experience successfully managing administrative duties listed in job description.
  • High School Diploma required (Associate's or Bachelor's degree preferred).
