Position Summary
Reporting directly to the VP of People and Culture, the North America Payroll and Benefits Manager plays a crucial role in overseeing all facets of payroll operations and employee benefits management. This includes ensuring adherence to local, provincial, state, and federal regulations, negotiating with service providers, and delivering exceptional support to our workforce.
As a key advisor, you will collaborate on human resource solutions that enhance business performance and aid in attracting and retaining top talent. This managerial position demands a thorough understanding of payroll processes in both the US and Canada, benefits administration, and relevant legislative requirements to guarantee accurate, timely, and compliant payroll execution.
Key Responsibilities
Oversee Payroll Operations:
- Ensure precise and timely processing of semimonthly payroll for all staff, including ad hoc payments, commissions, and bonuses.
- Act as the data steward and liaison with our payroll vendor, ensuring all employee records are accurate and current.
- Maintain compliance with local, provincial, state, and federal payroll tax laws.
- Lead the integration of payroll systems for newly acquired business units into the Versaterm payroll framework.
- Establish and uphold internal controls related to payroll practices and continuously monitor these controls.
- Resolve and address employee payroll and benefits inquiries.
- Develop and manage payroll processes for routine operations, tax reporting, and internal financial requirements.
Manage Employee Benefits:
- Administer employee benefits programs, including health insurance, retirement plans, and additional offerings.
- Negotiate with vendors and benefits partners to secure optimal plans, options, and pricing.
- Serve as the primary contact for plan vendors and third-party administrators.
Enhance Internal Processes:
- Formulate short-term and long-term strategies to drive continuous improvement and efficiency in payroll processing and service delivery.
- Implement process enhancements to boost efficiency and satisfaction with payroll services.
- Document and maintain administrative procedures for assigned benefits processes.
- Coordinate data transfers to external partners for services, premiums, and plan administration.
Compliance and Reporting:
- Ensure adherence to applicable government regulations.
- Oversee the maintenance of employee benefits records and update payroll information accordingly.
- Prepare budget recommendations and assist in monitoring, verifying, and reconciling budgeted funds.
Employee Support and Communication:
- Provide exceptional customer service support to both internal and external stakeholders.
- Contribute to organizational communications to keep stakeholders informed about payroll or benefits matters.
- Collaborate on the design and distribution of materials for benefits orientations, open enrollment, and summary plan descriptions.
Qualifications
Education and Experience:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- PLP, CPP designation or actively pursuing it.
- Over 10 years of demonstrated experience as a Payroll and Benefits Manager or in a comparable role.
- A minimum of five years in benefits management, including administration, tracking, and auditing of benefits programs.
Skills and Knowledge:
- Extensive knowledge of payroll processes, tax regulations, and benefits administration for both the US and Canada.
- Strong analytical abilities and comprehensive understanding of US and Canadian benefits and plan administration.
- Familiarity with all relevant federal and state regulations, compliance requirements, and filing obligations.
- Excellent communication and organizational skills.
- Capability to manage multiple complex projects simultaneously while meeting deadlines.
