Role Summary:

The Event Operations Associate plays a crucial role in supporting the Events Operations Manager and team in organizing and executing special event rentals, ensuring smooth operation throughout the program. The key responsibilities include the precise setup and dismantling of event equipment, efficient loading and unloading of materials, and safe transportation of equipment to various venue locations. This position is part of a union.


Key Responsibilities:

  • Execute event setup and breakdown according to directives and floor plans provided by the Events Operations Manager or team.
  • Arrange seating and tables in compliance with relevant building and fire safety regulations.
  • Ensure proper handling, movement, and storage of all event equipment.
  • Set up audio-visual equipment including lighting and sound systems.
  • Inspect equipment post-use for any damages and verify against inventory lists.
  • Deliver exceptional customer service and provide valuable information to event attendees.
  • Maintain cleanliness and organization of the event space.
  • Be present on-site during events to ensure adherence to timelines, safety protocols, and overall service quality.
  • Offer knowledgeable solutions to any challenges that may arise, including equipment issues or unexpected changes.
  • Strive to provide clients with the highest standard of service and quality.
  • Keep a tidy and organized workspace, encompassing both public and private areas.
  • Adhere to safety and security protocols while utilizing equipment and materials appropriately.
  • Restore museum and grounds to their original condition post-event and ensure all contractors meet their obligations.
  • Organize activities in exhibit spaces to cater to general guests or specific age groups, such as school groups.

Additional Duties:

  • Understand and enforce museum policies and procedures.
  • Support and facilitate emergency protocols, including fire evacuations and accident reporting.
  • Exhibit flexibility and willingness to cross-train across various departments.
  • Assist with the execution of birthday parties as required.

Qualifications:

Experience:

  • Preferred experience in event setup and breakdown.
  • Customer service experience is a plus.

Skills:

  • Self-motivated with a strong sense of time management.
  • Detail-oriented with the ability to follow and interpret floor plans.
  • Exceptional customer service skills.
  • Flexible mindset with a passion for problem-solving.

Physical Requirements:

  • Regular movement throughout the museum to set up, monitor, and dismantle events.
  • Ability to lift up to 20 lbs frequently and up to 65 lbs with assistance.
  • Physical demands may be strenuous; reasonable accommodations can be made for individuals with disabilities.

Work Environment:

  • Availability to work evenings, weekends, and extended hours as needed.
  • Ability to work outdoors in varying weather conditions.
  • Fast-paced public-facing environment requiring quick decision-making.
  • Interaction with the public, including children and families, is a key aspect of the role.

Clearances:

  • Background checks including FBI fingerprinting, PA Child Abuse History Certificate, and PA State Criminal Record Check are mandatory.
