SUMMARY

The Meeting and Event Operations Associate plays a crucial role in the execution of events on-site, ensuring seamless communication between the Banquet team and Event Planners.

KEY RESPONSIBILITIES
Job responsibilities include, but are not limited to:
  • Preparing all necessary materials for pre-event meetings and providing copies for guests utilizing the conference facilities,
  • Assisting with the logistics of shipping and receiving event materials or equipment,
  • Supporting the Banquet team in refreshing all conference areas,
  • Creating signage for guests and event planners,
  • Monitoring group breaks and communicating with Banquet and Housekeeping teams,
  • Ensuring all requests in Banquet Event Orders (BEOs) are fulfilled,
  • Guiding guests to the appropriate event locations and functions,
  • Assisting guests and event planners with special requests,
  • Coordinating the delivery of amenities, ensuring proper room setups and equipment placement in meeting rooms,
  • Communicating with the Purchasing/Delivery Department regarding the shipping and receiving of group items, accurately tracking wedding gifts for guests, and assisting with ceremony setup and breakdown, including creating and placing door signs at the correct rooms.
  • Acting as a liaison and maintaining open communication between Meeting Planners, Event Management, Banquet Culinary teams, and service staff to deliver the highest standard of service.
  • Managing administrative functions within the Banquet Department, including performing daily time edits, creating food signage for events, updating the Banquet BEO book, contacting vendors, and ordering rental equipment as specified by Banquet BEOs, while supporting the banquet team as needed.
QUALIFICATIONS
  • High school diploma or equivalent required,
  • At least one to two years of experience in a hotel or resort setting,
  • A minimum of two years' experience in customer service,
  • One year of event planning experience is preferred,
  • Ability to multitask and maintain focus,
  • Strong attention to detail,
  • Exceptional written and verbal communication skills, with proficiency in Microsoft Office.
PHYSICAL REQUIREMENTS

This position requires walking and standing for most of the workday; candidates must be able to stand and maintain mobility for up to six hours. The role involves bending, stooping, squatting, and stretching to complete tasks. Candidates should be able to lift up to 35 lbs regularly and possess manual dexterity for tasks such as writing, standing, sitting, walking, and climbing.
