POSITION OVERVIEW

The Event Coordination Specialist plays a pivotal role in executing events at our venue, ensuring seamless communication between the Banquet team and Event Planners.

KEY RESPONSIBILITIES
  • Organizing all materials required for pre-event meetings and assisting guests utilizing the conference facilities.
  • Facilitating the shipping and receiving of event-related materials and equipment.
  • Supporting the Banquet team in maintaining and refreshing all conference areas.
  • Creating necessary signage for guests and event organizers.
  • Monitoring group breaks and relaying information to the Banquet and Housekeeping teams.
  • Ensuring all requests outlined in Banquet Event Orders (BEOs) are fulfilled.
  • Guiding guests to the appropriate event locations and functions.
  • Assisting guests and event planners with any special requirements.
  • Overseeing the delivery of amenities and ensuring proper room setups and equipment arrangements.
  • Coordinating with the Purchasing/Delivery Department regarding the shipping and receiving of group packages, accurately tracking gifts for guests, and assisting with ceremony preparations.
  • Acting as a liaison to maintain effective communication between Meeting Planners, Event Management, the Banquet Culinary team, and service staff to ensure exceptional service delivery.
  • Managing administrative tasks within the Banquet Department, including time edits, creating food signage for events, updating the Banquet BEO book, and liaising with vendors for rental equipment as specified.
REQUIREMENTS
  • High school diploma or equivalent is required.
  • A minimum of one to two years of experience in a hospitality environment is preferred.
  • At least two years of customer service experience is essential.
  • One year of event planning experience is required.
  • Ability to multitask and maintain focus is crucial.
  • Strong attention to detail is necessary.
  • Exceptional written and verbal communication skills, along with proficiency in Microsoft Office, are required.
PHYSICAL DEMANDS

This position involves extensive walking and standing throughout the workday; candidates must be able to stand and maintain mobility for extended periods. The role requires bending, stooping, squatting, and stretching to complete tasks, as well as the ability to lift up to 35 lbs regularly. Manual dexterity, including grasping, writing, and repetitive motions, is essential.
