Position Overview

Title: EVENT COORDINATION SPECIALIST - Family Reception Center

Reports To: Conference Facilitator

Hours: 35 Hours/Week; Non-Exempt

Salary Range: 40K-45K

Job Summary: The Event Coordination Specialist is responsible for executing and managing all administrative tasks related to family team conferences for families enrolled in prevention programs, alongside front desk administrative responsibilities to enhance overall program operations. This role collaborates closely with the Conference Facilitator to ensure that conferences are conducted timely and professionally, adhering to all program and regulatory mandates.

Key Responsibilities:
  • Maintain and submit a monthly tracking list of all upcoming conferences to the Conference Facilitator and program Supervisors.
  • Prepare and submit necessary documentation to request and schedule conferences.
  • Reserve and prepare conference spaces with required materials ahead of time.
  • Ensure timely notifications are sent to all conference participants and supportive individuals prior to each meeting.
  • Assist Case Workers and Social Workers with reminder communications to participants.
  • Document all contacts and correspondence related to conference activities accurately and promptly in the relevant databases.
  • Welcome visitors and participants at the program site while managing the reception area.
  • Notify staff of arrivals for scheduled appointments.
  • Handle incoming calls and direct them appropriately while covering the reception area.
  • Distribute petty cash and transportation cards to staff and participants as instructed.
  • Maintain a safe and welcoming reception area.
  • Participate in program staff meetings and relevant training sessions.
  • Perform additional duties as assigned.

  • Minimum one year of experience in an administrative support role.
  • Familiarity with relevant databases is a plus.
  • Excellent verbal and written communication skills.
  • Ability to proactively address and resolve issues.
  • Strong teamwork and organizational skills with attention to detail.
  • Commitment to a strength-based, youth and family development approach.
