We are in search of a meticulous, well-organized, and detail-oriented Executive Virtual Assistant to enhance our operational efficiency. In this role, you will undertake a range of high-level administrative functions and assist our senior management team. Key responsibilities include managing executive schedules, coordinating travel plans, and preparing financial reports.

The ideal candidate will possess exceptional organizational skills, effective time management abilities, and the capacity to operate independently. Your contributions will be vital in ensuring the smooth functioning of our business by delivering personalized and prompt support to our executive members.

POSITION RESPONSIBILITIES

Key Responsibilities:

Administrative Duties: Overseeing executive correspondence, scheduling appointments, providing timely notifications, and managing travel logistics to facilitate uninterrupted daily operations. Calendar Coordination: Developing and maintaining comprehensive schedules of events, appointments, and tasks to ensure effective time management and prioritization. Research Activities: Conducting in-depth online research to support various initiatives and decision-making processes, delivering accurate and pertinent information. Documentation: Preparing and maintaining precise records, compiling and distributing detailed reports, and managing other documentation tasks as required. Event Planning and Travel Coordination: Organizing and coordinating events, as well as overseeing travel arrangements, including booking flights, accommodations, and transportation.

CANDIDATE QUALIFICATIONS

Diploma in Office Administration or a Secretarial Diploma Proven experience as an Executive Assistant, Virtual Assistant, or in a comparable role. Familiarity with the telecommunications sector, including knowledge of FCC regulations, data privacy laws, and cybersecurity matters. Proficiency in legal research databases, document management systems, and potentially experience with telecommunications-specific software or compliance tools. Strong analytical skills, attention to detail, effective communication abilities, and the capacity to work under tight deadlines. Experience in international travel booking and arrangements. Excellent organizational and time management skills. Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to work autonomously and manage confidential information with discretion. Strong research capabilities and attention to detail. Flexibility to adapt to changing priorities and schedules. Must have a wired, high-speed internet connection (Download speed of 20 Mbps+)

CONDITIONS OF EMPLOYMENT

Must be authorized to work in the country where the job is based. Must be willing to undergo a LEVEL II background and/or security investigation with a fingerprint. Standard starting compensation is commensurate with experience. Yearly reviews are conducted based on tenure and performance.

PHYSICAL REQUIREMENTS

This position operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for extended periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
