We are in search of a meticulous, highly organized, and detail-oriented Executive Virtual Assistant to support our senior management team. In this role, you will undertake a range of high-level administrative functions to assist our executives. Responsibilities include managing schedules, coordinating travel, and preparing financial reports.

The ideal candidate will possess exceptional organizational skills, demonstrate effective time management, and be capable of working independently. Your contributions will enhance our operational efficiency by delivering personalized and timely support to executive personnel.

POSITION RESPONSIBILITIES

Key Responsibilities:

Administrative Support: Overseeing executive communications, organizing meetings, providing timely notifications, and managing travel logistics to ensure smooth daily operations. Calendar Coordination: Developing and maintaining comprehensive schedules for events, appointments, and tasks, ensuring effective time management and prioritization. Research Tasks: Conducting in-depth online research to support various initiatives and decision-making processes, delivering accurate and pertinent information. Documentation: Creating and maintaining precise records, compiling and distributing detailed reports, and managing other documentation tasks as required. Event Planning and Travel Coordination: Organizing and coordinating events, as well as overseeing travel arrangements, including booking flights, accommodations, and transportation.

CANDIDATE QUALIFICATIONS

Diploma in Office Administration or a Secretarial Diploma. Proven experience as an Executive Assistant, Virtual Assistant, or in a comparable role. Familiarity with the telecommunications sector, including knowledge of FCC regulations, data privacy laws, and cybersecurity issues. Proficiency in legal research databases, document management systems, and possibly experience with telecommunications-specific software or compliance tools. Strong analytical abilities, attention to detail, effective communication skills, and the ability to work under pressure. Experience in international travel booking and arrangements. Excellent organizational and time management skills. Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to work autonomously and manage confidential information with integrity. Strong research capabilities and meticulous attention to detail. Flexibility to adapt to shifting priorities and schedules. Must have a reliable, high-speed internet connection (Download speed of 20 Mbps+).

CONDITIONS OF EMPLOYMENT

Must be authorized to work in the country where the job is based. Must be willing to undergo a LEVEL II background and/or security investigation with fingerprinting. Standard starting compensation is based on experience. Annual reviews are conducted based on tenure and performance.

PHYSICAL REQUIREMENTS

This position operates in a professional office environment. While performing the duties of this role, the employee will primarily be sedentary and will be required to sit/stand for extended periods while using a computer and telephone headset. The employee will regularly need to operate a computer and other office equipment, including a phone, copier, and printer. Occasional movement around the office may be required to complete tasks, reach in any direction, raise or lower objects, move items from one place to another, hold onto objects, and exert force up to forty (40) pounds.
