Job Summary

We are seeking a professional Administrative Coordinator to join our team at Sparks Group. This role is ideal for someone looking for a work/life balance and seeking to grow their administrative skills.

Responsibilities:
  • Manage multi-line phone systems and maintain an organized environment
  • Greet visitors and maintain accurate visitor logs
  • Order and maintain office supplies, ensuring seamless day-to-day operations
  • Stock supply closets, cafes, pantries, coffee stations, and conference centers to meet the needs of the team
  • Sort and deliver incoming/outgoing mail in a timely manner
  • Accept packages and deliveries with professionalism
  • Maintain accurate correspondence and communication records
  • Receive and deliver faxes promptly
  • Notify IT vendors of any equipment or call failures
  • Digital and manual filing to ensure data accuracy and accessibility
  • Collaborate with IT to set up phone recordings for holidays and other closures
  • Coordinate meeting logistics, including catering arrangements
  • Track birthdays, anniversaries, and other important dates
  • Assist with ad-hoc administrative projects, utilizing Excel and Word skills
Qualifications:
  • Presentation skills and a friendly demeanor are essential for this role
  • Proficiency in MS Office is required, with mandatory testing per client
  • Able to pass a criminal background check
  • Ability to multitask reception duties and administrative projects with ease
  • Minimum 2 years of experience in a reception or administrative capacity is preferred

Compensation:

This position is compensated competitively, with an estimated annual salary of $55,000, reflecting the value we place on our team members' contributions
