Job Summary

The Administrative Specialist will serve as a trusted partner to the Vice President, Business Integration, and Vice President, Corporate Strategy. This role will involve building relationships within the organization, cross-functionally, and with key stakeholders to ensure effective communication and alignment with functional objectives.

Key Responsibilities

  • Provide direct administrative support to the Vice Presidents and teams, including scheduling, coordination, and communication with external partners.
  • Manage daily scheduling, exercise good judgment in managing time and calendars, and prioritize tasks to minimize distractions.
  • Coordinate with external partners, their representatives, or designees, with discretion, accuracy, prioritization, and efficiency.
  • Assist with monthly accruals and forecast for the department's budget, including developing and maintaining vendor lists and Statements of Work.
  • Reconcile departments' purchase cards and organize offsite team meetings, including planning, coordination of travel, agenda preparation, and pre-read materials.
  • Handle sensitive information with discretion and maintain appropriate hard copy and electronic filing systems.

Requirements
  • Minimum qualifications include a strong understanding of business operations and administrative procedures.
  • Excellent communication and interpersonal skills, with the ability to build relationships with employees at all levels within the company.
  • Ability to work independently and as part of a team, with a strong attention to detail and organizational skills.
