Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Support Specialist. This role will provide administrative support to various departments, ensuring the smooth functioning of daily operations.

Key Responsibilities:

  • Provide administrative support to various departments, including photocopying, filing, and data entry.
  • Assist with answering incoming calls, routing them to the appropriate individuals, and taking messages.
  • Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary materials and resources are prepared.
  • Assist in managing office supplies inventory, placing orders as needed, and ensuring sufficient stock levels at all times.
  • Offer excellent customer service to internal teams and external stakeholders, providing timely and accurate responses to inquiries.
  • Support the organization's HR activities, including maintaining personnel records, assisting with recruitment processes, and organizing employee onboarding and offboarding procedures.
  • Conduct basic research tasks, preparing reports or summaries as required.
  • Collaborate with colleagues to identify and implement process improvements, maximizing efficiency and productivity.
  • Assist with event planning and coordination, both internal and external, to ensure successful execution.
  • Uphold confidentiality in all tasks, ensuring sensitive information remains secure and protected.

Requirements:

  • High school diploma or equivalent; some college coursework preferred.
  • Proven experience in a similar administrative or support role is desirable.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proficient in using MS Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Strong interpersonal and communication skills, both written and verbal.
  • Attention to detail and accuracy in all work performed.
  • Ability to work independently with minimal supervision as well as collaborate effectively within a team.
  • Resourcefulness and problem-solving aptitude.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges.
  • Demonstrated commitment to maintaining confidentiality and professional integrity.
