Job Summary

We are seeking a highly skilled and experienced Administrative Assistant I to provide confidential secretarial and administrative support to an Officer or Senior Level Director with system-wide responsibility. The successful candidate will manage the clerical and administrative support activities for the senior executive's office, exercising considerable discretion and independent judgement in handling complex and confidential matters.

Key Responsibilities
  • Direct the administrative activities for the assigned office, ensuring efficient and effective operations.
  • Interpret administrative decisions and policies, transmitting orders and instructions with the authority of the supervisor.
  • Manage the schedule of the Officer or Director, ensuring their preparation for meetings and events.
  • Assist in developing and monitoring departmental budgets, ensuring compliance with financial regulations.
  • Screen and handle requests and inquiries, processing sensitive and confidential information.
  • Represent the Officer or Director at meetings, presenting and discussing administrative matters as directed.
  • Monitor program activities to ensure compliance with Federal, State, and City affirmative action requirements.
  • Compose and draft correspondence, research and prepare reports, and prepare presentations and related materials.
  • Develop and oversee the maintenance of administrative manuals, guides, and filing systems.
  • Order necessary equipment and materials, monitoring annual purchases for control of supply costs.
Requirements
  • Bachelor's degree from an accredited college or institution.
  • One year of experience providing administrative support to a department head or manager.
  • Additional administrative support experience may be substituted on a year-for-year basis for the education requirement.
  • Knowledge of the principles and practices of administrative analysis, office practices and protocol, and office management and supervision.
  • Excellent oral and written communication skills, proficiency in technical computer applications, and ability to pass a typing assessment.
  • Ability to conduct administrative and organizational studies, collect and analyze data, and prepare reports.
  • Ability to interpret administrative policies and procedures, establish and maintain effective working relationships, and prioritize, plan, and execute multiple assignments in a timely manner.
