Job Summary

We are seeking a highly skilled and experienced Administrative Support Specialist to join our team at the Baltimore City Public School System. The successful candidate will provide confidential secretarial and administrative support to the Human Capital team and manage the office's clerical and administrative support activities.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Human Capital team, including managing schedules, coordinating travel arrangements, and preparing correspondence.
  • Office Management: Manage the office's clerical and administrative support activities, including supervising clerical personnel and ensuring the smooth operation of the office.
  • Communication: Serve as a liaison between the Human Capital team and other departments, communicating effectively and professionally with staff, management, and external stakeholders.
  • Problem-Solving: Exercise independent judgment and discretion in handling complex and confidential matters, requiring the ability to analyze problems and develop effective solutions.
  • Team Collaboration: Work collaboratively with senior staff to complete assignments and projects, demonstrating strong interpersonal skills and the ability to build effective working relationships.
Requirements
  • Education: Bachelor's degree or equivalent relevant professional experience required.
  • Experience: Two years of experience providing administrative support to a department head or senior manager.
  • Skills: Excellent oral and written communication skills, proficiency in Microsoft Office applications, and the ability to prioritize and manage multiple tasks and projects.
  • Knowledge: Knowledge of office practices and protocol, principles and procedures of office management and supervision, and standard record maintenance procedures.
Desired Qualifications
  • Administrative Experience: Additional administrative support experience may be substituted on a year-for-year basis for the education requirement.
  • Technical Skills: Proficient skill in the use of technical computer applications, including Microsoft Word, Excel, PowerPoint, and Outlook or similar package.
  • Communication Skills: Excellent oral and written communication skills, with the ability to express ideas and abstract thoughts clearly in both written and oral form.
  • Problem-Solving Skills: Ability to analyze problems and develop effective solutions, with the ability to conduct administrative and organizational studies and make recommendations for improvements.
