Job Summary:
Responsible for maintaining essential systems that support patient care operations. This role involves scheduling and coordinating various appointments, procedures, and tests, while effectively managing and communicating department and provider schedules to enhance clinical operations and ensure an exceptional patient experience.
Key Position Details:

  • Position will operate during standard clinic hours, Monday through Friday

Job Description:

Principal Responsibilities
  • Appointment Scheduling:
    • Coordinates and/or adjusts patient appointments, procedures, diagnostic tests, surgeries, and other related engagements among multiple providers.
    • May document all scheduling activities in the electronic medical record.
    • Verifies insurance details and secures prior authorizations as necessary, may also register patients.
    • May oversee the patient outcome tool, including preparation and distribution.
    • May create, delete, and modify scheduling versions and calendars to reflect provider schedule changes.
    • Arranges interpreter services for patients as required.
  • Administrative Support:
    • May assist with department reception and patient check-in.
    • Provides telephone coverage and routes messages appropriately.
    • May track insurance verification using various systems.
    • May maintain the lobby area.
    • Ensures patient documentation is complete and manages an insurance or referral work queue.
    • Organizes and maintains department records, manuals, and patient education materials.
    • Participates in fulfilling patient data reporting requirements and compliance with regulatory standards.
    • May develop and maintain training materials for new and existing staff.
    • May assist physicians with reimbursements, expense reports, credentialing, charge capture, and medical records.
  • Chart Preparation:
    • Reviews patient records to determine if additional documents are necessary.
    • Ensures patient consent forms are current and updated.
    • Contacts document sources, obtains records, and scans them into the electronic medical record.
    • Other duties as assigned.
Job Requirements
  • Must be at least 18 years old with the education and/or experience necessary to meet the required competencies as listed in the job description; a high school diploma or GED is preferred.
  • Post-secondary education in a medical field is preferred.
  • 2 to 5 years of experience in a medical office, including administrative support, scheduling, customer service, and familiarity with Microsoft Suite and electronic medical records is preferred.
