Overview:

Fairview Health Services is seeking a dedicated Patient Care Coordinator to enhance our Flex Workforce team. This role is pivotal in ensuring that our patients receive exceptional service and support across various clinic locations. Our clinic hours are flexible, providing a balanced work-life environment.

This position serves as the initial point of contact for patients, families, and external clients, delivering outstanding service and fostering a welcoming environment for all visitors.

As a member of the Flex Workforce, you will benefit from an additional pay incentive on top of your hourly wage.

Key Responsibilities:

- Deliver exceptional customer service both in-person and via phone to all clients.

- Welcome patients courteously, assessing their needs and arranging necessary accommodations, including interpreter services.

- Maintain a high level of patient satisfaction in every interaction.

- Collaborate effectively with medical personnel, nursing staff, and other departments to meet patient needs.

- Communicate relevant information according to established protocols to support daily operations.

In-Person Duties:

- Keep patients informed about any delays in service.

- Guide patients to the waiting area post-registration and notify care staff of their arrival.

Phone Duties:

- Address caller inquiries promptly and efficiently.

- Transfer calls to the appropriate departments as necessary.

- Schedule and manage patient appointments effectively.

- Ensure high-quality service delivery to all patients.

- Perform accurate scheduling and registration tasks using our computer systems, including entering demographic, insurance, and referral information.

- Create efficient patient schedules while adhering to scheduling guidelines.

- Accurately document and update schedule changes.

- Gather essential information for precise scheduling across multiple disciplines.

- Resolve scheduling conflicts by engaging with involved parties and utilizing available resources.

Patient Registration and Arrival:

- Utilize technology to ensure proper documentation and enhance patient satisfaction.

- Adhere to revenue cycle protocols and workflows.

- Collect and verify necessary information to facilitate a smooth patient visit, including demographic data, insurance details, and payment information.

- Follow revenue cycle procedures to identify and address potential coverage issues.

- Communicate effectively with team members to share vital information and ensure high-quality patient care.

- Continuously evaluate and improve processes to enhance service quality.

- Maintain accurate communication records and ensure timely message delivery.

- Route calls to appropriate team members efficiently.

Team Collaboration:

- Actively participate in identifying workflow improvement opportunities.

- Engage in team meetings to support organizational initiatives.

- Foster open communication with colleagues.

- Embrace changes aimed at enhancing the work environment and patient experience.

Qualifications:

Required:

  • Minimum of one year of experience in healthcare or customer service.

Preferred:

  • Vocational or technical training.
  • Two years of experience in scheduling patient appointments or registering patient information, with knowledge of insurance processes in a practice management system, or an equivalent combination of education and experience.

Desired Skills:

- Strong customer service, public relations, and communication abilities.

- Capability to prioritize tasks and manage fluctuating workloads independently.

- Adaptability to change and commitment to ongoing process improvement.

- Willingness to work at various locations as needed.
