Job Overview

Wise Staffing Group is seeking a dedicated Office Coordinator to provide essential administrative support to our management team. This role is pivotal in ensuring smooth operations and effective communication within the organization.

Key Responsibilities

The successful candidate will be responsible for:

  1. Document Preparation: Transforming handwritten drafts or verbal instructions into a variety of professional documents, including letters, memos, forms, and reports.
  2. Order Management: Preparing and placing purchase orders to ensure timely procurement of necessary materials.
  3. Financial Administration: Maintaining, reconciling, and managing the petty cash account to support daily operations.
  4. Employee Benefits Administration: Assisting with employee benefits inquiries, processing relevant forms, and maintaining HR policies.
  5. Office Equipment Utilization: Effectively using standard office machinery, including personal computers, typewriters, and photocopiers.
  6. Communication Management: Screening telephone calls, incoming mail, and other correspondence to prioritize communications for management.
  7. Information Gathering: Collecting necessary information for meetings, reports, and projects as required by management.
  8. Travel Coordination: Arranging travel and accommodation for management and staff as needed.
  9. Meeting Coordination: Organizing and coordinating meetings for management, ensuring all logistical details are addressed.
  10. Interdepartmental Support: Following up on requests from various departments to facilitate smooth operations.
  11. Additional Duties: Participating in project teams and performing other tasks as assigned.
Qualifications

To excel in this role, candidates should possess:

  • Education: An Associate's degree or equivalent experience in a related field.
  • Skills: Proficiency in typing, basic computer knowledge, and familiarity with human resources and accounting procedures.
  • Language Skills: Ability to read and interpret documents, write routine reports, and effectively communicate with various stakeholders.
  • Mathematical Skills: Competence in basic arithmetic and the ability to perform calculations involving discounts and percentages.
  • Reasoning Ability: Strong problem-solving skills and the ability to follow instructions accurately.
Physical Requirements

This position may require:

  • Regular communication and interaction with team members.
  • Frequent sitting and use of hands for various tasks.
  • Occasional lifting of light objects.
Work Environment
