About the Role

The Business Office Coordinator is a key member of the Otterbein SeniorLife team, responsible for providing administrative support to the business office. This role is a full-time position and requires a high level of organization, attention to detail, and excellent communication skills.

Key Responsibilities

  • Process bi-weekly payroll and ensure accurate and timely payment to employees.
  • Provide new hire orientation, including paperwork, fingerprinting, background checks, licensure verification, and reference checks.
  • Maintain and audit employee files, ensuring compliance with company policies and procedures.
  • Maintain workers' compensation system, background check log, and OSHA log.
  • Complete new hire and termination processes, ensuring seamless transitions for employees.
  • Provide support and follow through with unemployment issues, ensuring compliance with company policies and procedures.
  • Collect and maintain elder assistant schedules for state documentation purposes.
  • Code invoices and billing, reconcile benefits bills, and ensure accurate and timely payment to vendors.
  • Ensure applications and marketing materials are easily accessible to employees.
  • Reconcile petty cash and maintain accurate records.
  • Maintain attendance and tardy system documentation, ensuring compliance with company policies and procedures.
  • Ensure postage is readily available and maintain a well-stocked office supply.
  • Maintain the Medical Supply Ordering System, including new hire entry, monthly billing, and non-clinical product entry.
  • Serve as the corporate business/support liaison, providing administrative support to the business office.
  • Perform any other duties as assigned by management.

Requirements

  • Education: Prefer post-secondary education with marketing experience or human resources experience.
  • Licensure/Certification: Notary Public, preferred, not required.
  • Experience: 1-5 years related work experience. Payroll experience strongly preferred, ideally with UltiPro software, but not required.
  • Computer Skills: Word, Excel, UltiPro, but not required.
