Position Overview

Ares Management is in search of a Senior Administrative Coordinator who possesses exceptional organizational and administrative skills to provide top-tier professional support in a fast-paced environment. This role will be pivotal in ensuring the seamless operation of daily activities by managing complex calendars, coordinating travel arrangements, processing expense reports, and handling phone communications.

Key Responsibilities

Meeting Coordination
  • Efficiently organize and schedule internal and external meetings, conference calls, and video conferences, utilizing digital tools.
  • Prioritize calendar items, keeping professionals informed of any changes to ensure they remain on schedule.
  • Manage the logistics of meeting spaces, including setup and cleanup for catered events.
Travel Management
  • Oversee all aspects of domestic and international travel arrangements, including transportation and accommodations.
  • Prepare detailed itineraries and ensure timely tracking of flights and itinerary modifications.
  • Organize expense reports using the company’s expense management system.
Daily Operations
  • Answer and manage phone calls, screening and directing inquiries as necessary.
  • Maintain confidential documents and records with the utmost discretion.
  • Assist in registering professionals for conferences and networking opportunities.
  • Provide backup support to fellow administrative team members as needed.
  • Handle various mailings and assist with administrative tasks for team members during absences.
Qualifications

Education: Bachelor’s degree or equivalent professional experience is required.

Experience:
  • 5 - 7 years of experience in an administrative capacity, preferably within the financial services sector.
  • Proficient in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
