Reports to: Executive Vice President/Portfolio Manager

Job Overview:

The Senior Administrative Coordinator (SAC) will deliver exceptional professional and personal administrative assistance to the Executive Vice President/Portfolio Manager. This role encompasses a diverse range of responsibilities in a dynamic environment.

Key Responsibilities:
  • Guarantees that all communications emanating from the Executive Vice President/Portfolio Manager's office are precise, professional, timely, and enhance the reputation of both the Executive Vice President/Portfolio Manager and the organization.
  • Facilitates the efficient and effective functioning of the Executive Vice President/Portfolio Manager in fulfilling his responsibilities.
  • Proactively anticipates the needs of the Executive Vice President/Portfolio Manager, providing solutions and options to address those needs.
  • Responds to changes with a sense of urgency and professionalism.
  • Ensures that all interactions with the Executive Vice President/Portfolio Manager's office (e.g., Board Members, Staff, and Other Stakeholders) are met with confidence and clarity.
  • Maintains a high level of professionalism in communications while ensuring confidentiality at all times.
Communication Duties:
  • Manage phone communications professionally, ensuring that clients and prospects feel valued and have a positive perception of the organization.
  • Provide timely and accurate responses to emails, phone calls, and other inquiries.
  • Document all messages and voicemails for the Executive Vice President/Portfolio Manager's office and relay important communications.
  • Coordinate effective communication with senior management members.
Travel Coordination:
  • Arrange travel plans that align with the preferences and requirements of the Executive Vice President/Portfolio Manager, ensuring accuracy and cost-effectiveness.
  • Remain accessible to the Executive Vice President/Portfolio Manager during travel for research inquiries and timely modifications.
  • Prepare detailed itineraries for the Executive Vice President/Portfolio Manager while traveling, including relevant information and contacts.
  • Schedule travel accommodations for Board members as necessary.
  • Confirm appointments the day prior to travel.
Scheduling Responsibilities:
  • Oversee the Executive Vice President/Portfolio Manager's calendar, scheduling all appointments, meetings, events, and media engagements as required.
  • Maintain awareness of the Executive Vice President/Portfolio Manager's needs while adopting a strategic approach to scheduling.
  • Facilitate meetings with the Board of Directors and Shareholders.
  • Organize regular meetings with the investment team, ensuring proper documentation and follow-up.
  • Ensure regular one-on-one meetings occur with individual investment team members.
Organizational Duties:
  • Maintain an efficient filing system that allows for quick and easy retrieval of information.
  • Ensure the Executive Vice President/Portfolio Manager's office is organized and equipped with necessary materials.
  • Coordinate routine management reporting from various departments, ensuring timely delivery of information.
Additional Responsibilities:
  • Prepare materials, proposals, and presentations in various formats, ensuring accuracy and alignment with company standards.
  • Organize project assignments for analysts and schedule progress meetings.
  • Compile relevant internal and external research materials for the Executive Vice President/Portfolio Manager.
  • Perform additional tasks to support the Executive Vice President/Portfolio Manager and the organization.
Qualifications:
  • Minimum of 5 years' experience supporting a senior executive in Equity Asset Management or Hedge Fund.
  • Undergraduate degree or equivalent combination of training and experience; advanced degree preferred.
  • Grade Point Average (GPA) of 3.0 or above on a 4.0 scale.
Compensation: Anticipated base salary of $100-130k, along with discretionary bonuses and comprehensive benefits.
