Position Summary:

The New York City office is currently looking for a Senior Administrative Coordinator to provide vital support to our Corporate Department. This role acts as the primary point of contact for both internal and external stakeholders, facilitating communication between attorneys and clients. The ideal candidate will demonstrate a high level of confidentiality, be results-oriented, exercise sound judgment, and manage multiple tasks with minimal supervision while maintaining professionalism.

Duties & Responsibilities:
  • Oversee and manage a dynamic calendar, including email and phone communications, while scheduling appointments efficiently.
  • Organize and coordinate intricate travel arrangements.
  • Maintain and update client files and contact lists diligently.
  • Handle document management and production, including drafting letters and correspondence, as well as proofreading and transcribing.
  • Assist attorneys by reviewing, researching, and routing correspondence effectively.
  • Monitor, screen, and respond to incoming communications, distributing them as necessary.
  • Process expense reimbursements, manage detailed expenditure reports, and reconcile credit card statements.
  • Oversee client billing and collections, ensuring accurate time entry.
  • Engage with clients to coordinate and enhance client relationships.
  • Facilitate the client engagement and conflicts resolution process.
  • Support business development initiatives and filings as required.
  • Participate in special projects as needed.

Qualifications & Prior Experience:
  • Five or more years of experience as an administrative or executive assistant in a professional setting, preferably within a large or medium-sized organization.
  • Experience in a fast-paced, executive-level environment is highly desirable.
  • A bachelor's degree or equivalent experience is preferred.
  • Proficiency in Windows-based software and Microsoft Office Suite applications, including Word, PowerPoint, Excel, and Outlook, as well as familiarity with document management and other office technologies.
Compensation & Benefits:

The expected pay range for this position is:

Hourly Range: $56.59

Salary will be determined based on education, experience, job-related factors permitted by law, internal equity, and market data. Full-time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short-term and long-term disability, dental and vision care, life insurance, flexible spending accounts, 401K, vacation, sick time, and an employee assistance program. Additional voluntary programs may also be available.
