Job Overview

We are in search of an Administrative Coordinator to support our family-oriented legal practice. This role encompasses a range of responsibilities including client interaction, administrative support, light financial management, scheduling, and various clerical tasks.

Key Responsibilities:

  • Compose formal communications and other necessary documents
  • Organize and coordinate appointments and events
  • Handle incoming phone calls, assess potential client inquiries, and perform initial screenings
  • Assist multiple attorneys with client-related tasks
  • Manage basic bookkeeping, including accounts payable/receivable and client billing
  • Enter data into fee agreement templates for both new and existing clients
  • Carry out all other essential administrative duties
  • Additional responsibilities may include (time permitting): writing for legal blogs and assisting with business entity and trademark filings.

Qualifications:

  • We are looking for proactive candidates with a proven history of reliability, exceptional attention to detail, strong organizational abilities, and the capacity to work independently and efficiently, along with excellent time management and multitasking skills
  • Previous experience in office administration or management is preferred
  • Experience in a legal environment is not mandatory
  • Strong verbal and written communication skills are essential
  • Comfortable engaging with prospective and current clients over the phone
  • Additional familiarity or experience with any of the following is advantageous, but not required:
    • Legal Client Management & Accounting Software (e.g., Abacus, Zola/Caret, Clio, etc.)
    • Quickbooks or Quicken

Compensation:

  • The starting salary is competitive for this role and will be based on experience
  • Parking reimbursement or parking pass is provided
