A prominent national law firm, Matura Farrington, is seeking a detail-oriented and proactive Records/Office Services Assistant to support daily operations by maintaining the office environment, assisting with catering and reception, and handling mail and general office services.


Key Responsibilities:

  • Pick up and drop off mail at the end of the day, ensuring timely delivery and processing.
  • Manage the drop-off of FedEx packages, coordinating with vendors and staff to ensure seamless delivery.
  • Replenish paper and supplies in copiers and printers, maintaining a well-stocked and efficient office environment.
  • Process incoming mail and packages, accurately updating records and databases.
  • Input and update accurate data in the Firm's records management software, ensuring data integrity and security.
  • Manage incoming records requests by retrieving and referencing information for users, utilizing firm software and vendor databases.
  • Set up and clean up for catered meetings and events, ensuring a professional and welcoming atmosphere.
  • Arrange and prepare conference rooms for meetings, ensuring rooms are tidy, stocked, and appropriately set up for the next group.
  • Assist with coordination and setup of office events and functions, providing exceptional support to staff and clients.
  • Provide coverage for the reception desk, greeting clients and visitors in a professional manner, and answering phones and directing calls appropriately.
  • Assist with directing guests to meetings and providing assistance as needed, ensuring a seamless and welcoming experience.
  • Restock office kitchens, ensuring coffee stations, snacks, and supplies are available and neatly organized.
  • Keep common areas, such as break rooms and meeting spaces, clean and presentable throughout the day, maintaining a positive and productive work environment.
  • Coordinate with building services as needed to ensure a clean and well-maintained office environment, adhering to firm standards and expectations.


Qualifications:

  • At least 2 years of records/office services experience, with a strong background in administrative support and office operations.
  • Previous experience in an office services or administrative support role preferred, with a proven track record of success.
  • Strong attention to detail and organizational skills, with the ability to multitask and manage time efficiently in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to work effectively with staff, clients, and vendors.
  • Ability to lift and move moderately heavy items, such as packages and catering equipment, with a focus on safety and ergonomics.


Compensation:

$50k - $60k annually depending on experience, with a comprehensive benefits package and opportunities for growth and development.
