Job Overview

The Floating Hospital (TFH), established in 1866, stands as a vital charity healthcare provider in New York City, dedicated to offering unrestricted medical services to all individuals, irrespective of their immigration status, insurance coverage, or financial capability. TFH caters to a diverse patient demographic, including infants, children, youth, and adults, and is recognized as a Federally Qualified Health Center, primarily serving homeless families residing in shelters and safe houses across the city.

Key Responsibilities

Referral Coordination:

  • Oversee the continuous scheduling of patient referral appointments, ensuring accurate tracking and documentation to enhance staff understanding of the referral workflow.
  • Gather comprehensive information regarding patients' clinical histories and referral requirements in accordance with established guidelines, providing relevant details to supervisors and referring healthcare providers.
  • Notify patients of their upcoming appointments through various communication methods, including mail and phone calls.

Patient Scheduling:

  • Arrange patient appointments based on multiple factors such as urgency, individual needs, insurance coverage, and availability of healthcare providers.
  • Handle incoming calls, taking messages or directing calls as necessary.
  • Assist patients in scheduling appointments with specialists and provide reminders for these appointments.

Registration and Insurance Management:

  • Ensure thorough and precise patient registration, including demographic data and current insurance details.
  • Address referrals promptly and efficiently.
  • Manage daily tasks while maintaining an organized workspace.
  • Collaborate with insurance companies to verify benefits and obtain necessary pre-authorizations. Confirm all required referrals and authorizations are documented in the patient's medical records.
  • Understand the insurance landscape, verifying eligibility and benefits in relation to scheduled services.

Follow-Up and Communication:

  • Request and review consultation reports following specialist visits, ensuring timely follow-up with specialists to confirm patient attendance and obtain necessary documentation.
  • Engage with patients to schedule follow-up appointments with their primary care providers to discuss results.
  • Resolve any referral or authorization discrepancies, liaising with physicians' offices as needed to ensure accuracy and prevent reimbursement issues.
  • Communicate referral details and expectations clearly with patients.
  • Establish and nurture relationships with external referral providers, hospitals, and clinics.
Qualifications

Applicants should possess an Associate's Degree or equivalent training and experience, along with a minimum of two years of exemplary customer service and front desk/referral experience. Candidates must demonstrate sound judgment and resourcefulness in problem-solving, with a strong proficiency in MS Office applications and excellent computer skills. Prior experience with electronic medical records (EMR) is preferred. The ideal candidate will thrive in a high-volume environment, exhibit superior communication skills, and be familiar with medical terminology, billing, coding, and recordkeeping practices. Building effective and professional relationships with patients and healthcare facilities is essential.
