Job Overview

Key Responsibilities

Referral Coordination:

  • Oversee the ongoing scheduling of patient referral appointments, ensuring accurate tracking and documentation to enhance staff understanding of the referral process.
  • Compile relevant information regarding patients' clinical histories and referral requirements, adhering to established referral protocols, and communicate essential details to supervisors and referring healthcare providers.
  • Notify patients of their scheduled appointments through various communication methods, including mail and phone calls.

Patient Support:

  • Assist patients in scheduling appointments with specialists, ensuring they are reminded of their upcoming visits.
  • Guarantee comprehensive and precise patient registration, including demographic details and current insurance information.
  • Ensure timely processing of referrals to facilitate seamless patient care.

Insurance Navigation:

  • Collaborate with insurance companies to verify benefits and obtain necessary precertifications, documenting all relevant referrals and authorizations in the patient's medical records.
  • Understand the intricacies of the insurance process, including pre-authorization requirements for various procedures and services, and confirm eligibility and benefits based on the scheduled services and insurance plans.

Follow-Up and Communication:

  • Request and follow up on consultation reports after specialist visits, ensuring that patients have attended their appointments and obtaining copies of the reports.
  • Coordinate with patients to schedule follow-up appointments with their primary care providers to discuss consultation outcomes.
  • Address and resolve any referral or authorization discrepancies, liaising with physician offices as necessary to ensure accuracy and prevent reimbursement denials.

Relationship Management:

  • Establish and nurture professional relationships with external referral providers, hospitals, and clinics to enhance the referral process.
Qualifications

Candidates should possess an Associate's Degree or higher, or equivalent training and experience, along with a minimum of two years of exemplary customer service and front desk/referral experience. Strong problem-solving skills, resourcefulness, and sound judgment are essential. Proficiency in MS Office applications and excellent computer skills are required, with prior experience in electronic medical records being advantageous. The ideal candidate will be accustomed to a fast-paced environment and exhibit superior communication abilities. Familiarity with medical terminology, billing, coding, and recordkeeping is crucial, as is the ability to maintain effective, professional relationships with patients and healthcare facilities.
