Key Responsibilities

Essential Duties:

  • Oversee the ongoing scheduling of patient referral appointments, ensuring accurate tracking and documentation to enhance staff understanding of the referral process.
  • Compile comprehensive information regarding patients' clinical histories and referral requirements, adhering to established referral protocols.
  • Notify patients of their scheduled appointments through various communication methods, including mail and phone calls.
  • Coordinate patient scheduling based on multiple factors such as urgency, specific patient needs, insurance coverage, and availability of healthcare providers.
  • Manage incoming calls, taking messages or transferring calls as necessary.
  • Assist patients in arranging appointments with specialists and provide reminders for these appointments.
  • Ensure thorough and precise patient registration, including demographic details and current insurance information.
  • Address referrals promptly to maintain workflow efficiency.
  • Organize daily tasks and maintain a tidy workspace.
  • Collaborate with insurance companies to verify benefits and obtain necessary precertifications, ensuring all required referrals and authorizations are documented in the patient's medical record.
  • Understand the insurance landscape, verifying eligibility and benefits related to scheduled services.
  • Request and follow up on consultation reports post-specialist visits, ensuring timely communication with specialists regarding patient attendance.
  • Facilitate follow-up appointments with primary care providers to discuss patient outcomes.
  • Resolve any issues related to referrals or authorizations for internal specialty services, ensuring accuracy to prevent reimbursement denials.
  • Communicate referral details and expectations clearly with patients.
  • Establish and nurture relationships with external referral providers, hospitals, and clinics.
  • Perform additional duties as assigned.
Qualifications

Applicants should possess an Associate's Degree or higher, or equivalent training and experience. A minimum of two years of exceptional customer service and front desk/referral experience is preferred. Candidates must demonstrate sound judgment and resourcefulness in problem-solving, alongside strong proficiency in MS Office applications and excellent computer skills. Familiarity with electronic medical records (EMR) is advantageous. The ideal candidate will thrive in a fast-paced environment, exhibit superior communication skills, and have a solid understanding of medical terminology, billing, coding, and recordkeeping. Building effective, professional relationships with patients and medical facilities is essential, as is the ability to communicate effectively with all levels of staff and management.
