Key Responsibilities

As the Senior Accountant for Accounts Receivable, your responsibilities will include:

Accounts Receivable Management:

  • Processing checks, lockbox payments, and credit card transactions on a daily basis.
  • Generating bi-weekly Accounts Receivable Aging Reports and informing budget managers accordingly.
  • Conducting monthly meetings with budget managers to discuss outstanding payments.
  • Reconciling Accounts Receivable balances in the accounting system quarterly.
  • Reviewing and posting membership and related batches daily; investigating credits, overpayments, and unapplied payments.
  • Managing vendor enrollments for ACH and credit card payments.
  • Running monthly aging and sales reports; issuing notifications for overdue accounts.
  • Sending monthly invoices and overdue notices to distributors.
  • Processing daily distributor payments; recording inventory returns and resolving discrepancies.
  • Providing training on Accounts Receivable functions.

Fixed Assets Oversight:

  • Adding new assets to the fixed assets management software monthly.
  • Maintaining cost schedules for assets in development.
  • Assessing and disposing of assets on a quarterly basis.
  • Calculating monthly depreciation and reconciling with the general ledger.
  • Preparing the Annual Personal Property Tax Return.

General Ledger Responsibilities:

  • Monitoring daily bank transactions and preparing journal entries.
  • Recording and allocating bank and credit card fees quarterly.
  • Reconciling copier and postage accounts monthly.
  • Assisting with month-end closing and year-end audit/tax preparation.
  • Supporting budgeting and document retention/destruction processes.

Candidate Profile
APhA seeks candidates who possess:

Required Experience and Education:

  • A bachelor's degree in accounting is preferred; relevant experience may be considered in lieu of a degree.
  • A minimum of 5 years in a senior-level accounting role.

Essential Skills and Abilities:

  • Proficiency in Microsoft Office365 (Word, PowerPoint, Excel, Outlook, SharePoint).
  • Strong expertise in accounting software such as Microsoft Dynamics GP, Sage Intacct, and Sage Fixed Assets.
  • Excellent verbal and written communication skills.
  • Ability to effectively prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • High attention to detail and commitment to confidentiality.
  • Customer service-oriented with strong interpersonal skills.

Work Arrangement: Hybrid model, with two days per week in the office.
