Job Overview

Fawkes IDM is in search of a dedicated Billing Specialist to enhance our financial team. This role is pivotal in managing the complete billing cycle, from the creation of prebills to the issuance of final invoices.

Key Responsibilities
  • Billing Process Management: Oversee the transition from prebill to final bill, ensuring timely and accurate processing. Finalize and dispatch bills or eBills using client-specific templates, and confirm submission and posting in the accounting system.
  • eBilling Collaboration: Work closely with the eBilling team to set up new clients according to eBilling protocols. Ensure successful electronic invoice submissions and address any issues that arise, following up on eBill acceptance.
  • Rate Verification: Validate billing rates with the Rates team, ensuring compliance with outside counsel guidelines, including monitoring fee caps, tier discounts, and matter budgets. Communicate with management regarding any necessary adjustments.
  • Inquiry Response: Address questions related to accruals, audits, and payments, providing clear and concise information.
  • Reporting and Monitoring: Maintain current prebill status reports and track billing figures daily to ensure accuracy.
  • Client Trust Account Management: Oversee client trust accounts, ensuring accurate payment allocation and resolution of unapplied funds throughout the assigned portfolio. Keep stakeholders informed about available and unapplied trust funds.
Qualifications
  • Bachelor's degree in Accounting, Finance, or a related field is preferred.
  • Experience in a law firm or professional services environment is advantageous.
  • Proficiency in Microsoft Office, particularly Excel, is essential.
  • Familiarity with Aderant Expert or Elite Enterprise (3E) is preferred.
  • Strong commitment to delivering exceptional client service through effective teamwork.
  • Excellent communication skills, with the ability to present information clearly and concisely.
  • Proactive approach to enhancing the value of the role.
  • Willingness to work additional hours as needed.
