Core Responsibilities:
- Administrative Assistance: Oversee executive schedules, arrange meetings, and manage travel logistics. Draft and refine correspondence, reports, and presentations.
- Meeting Management: Organize and facilitate meetings, including the preparation of agendas, minute-taking, and follow-up on action items.
- Communication Management: Act as a primary liaison for internal and external stakeholders, ensuring professionalism and discretion in all communications.
- Project Coordination: Support special projects, conduct research, and prepare materials for board meetings and other significant events.
- Office Oversight: Supervise office operations, including the management of supplies, equipment, and workspace.
- Event Coordination: Handle logistics for organizational events, such as conferences, workshops, and networking gatherings.
Required Qualifications:
- Experience: At least 5 years of experience as an executive administrator or in a comparable role, ideally within a trade association or non-profit environment.
- Education: A bachelor's degree in Business Administration, Communications, or a related discipline is preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software. Strong organizational, multitasking, and time-management abilities.
- Communication Skills: Excellent verbal and written communication skills, with the capacity to engage effectively with senior executives, board members, and external partners.
- Confidentiality: Proven ability to manage sensitive information with integrity and professionalism.
- Detail Orientation: High level of accuracy and attention to detail in all tasks and projects.
