Key Responsibilities:
- Perform a diverse range of administrative duties for the President, including the preparation of expense reports, drafting confidential communications, coordinating intricate travel arrangements, and assembling documents for meetings related to travel.
- Execute clerical tasks such as composing letters, memos, invoices, reports, and other vital documents.
- Prepare all outgoing communications for the President, ensuring accuracy in format, content, and attachments, while suggesting modifications when appropriate.
- Oversee and manage incoming correspondence for the President, addressing routine inquiries and identifying which matters can be handled directly.
- Act as a liaison with various internal and external departments.
- Handle multiple projects concurrently, ensuring prompt follow-up on issues and concerns directed to the President, particularly those of a sensitive or confidential nature.
- Schedule and participate in meetings on behalf of the President, documenting notes and recording minutes.
Qualifications:
- Outstanding verbal and written communication abilities.
- A minimum of 5 years of experience supporting executive-level personnel.
- Ability to maintain discretion when dealing with confidential information and adapt to competing priorities.
- Excellent interpersonal skills, with a proven ability to cultivate relationships with board members, staff, and stakeholders.
- Proficient in Microsoft Office Suite, Adobe Acrobat, and social media platforms, with a readiness to learn new software as required.
- Experience in managing websites, including using a content management system (CMS) for daily updates and maintenance.
- Capability to lift up to 30 pounds occasionally.
- Willingness to travel for two weeks annually.
This position requires in-person attendance.
