Position Summary

Are you an organized and proactive individual with a talent for building relationships and supporting a dynamic team? If so, the role of Administrative Assistant / Engagement Coordinator at BEST NC may be the perfect fit for you. In this part-time role, you will provide vital administrative assistance to the leadership team while actively engaging with members and stakeholders to amplify their perspectives on significant educational matters.

KEY RESPONSIBILITIES

Administrative Duties:

  • Conduct basic bookkeeping tasks, including managing receipts, tracking leave schedules, and acknowledging contributions. (Note: financial tasks are managed by a designated bookkeeper)
  • Offer comprehensive administrative support, such as maintaining databases, organizing documents, coordinating grant submissions and reports, and addressing other administrative needs as they arise.

Stakeholder Engagement:

  • Develop and sustain positive relationships with BEST NC stakeholders, including business leaders, educators, and policymakers. Identify opportunities to enhance these connections.
  • Oversee membership status, generate invoices, monitor collections, and arrange meetings to ensure membership goals are met.
  • Boost stakeholder engagement by coordinating and assisting in the organization of meetings, events, newsletters, and conferences.
  • Manage logistics for key meetings and events, including scheduling, sending invitations, catering arrangements, and venue coordination.
  • Proactively arrange board and key stakeholder meetings, preparing and distributing agendas, minutes, and other necessary documentation.

Work Environment:

BEST NC operates on a hybrid work model, requiring in-person attendance a few days per week, along with participation in key events. The office is accessible daily for those who prefer an office setting. Limited travel may be necessary to support events, typically involving day trips within the state.

Work Schedule

This is a part-time position, requiring 4-5 hours per day, five days a week. To accommodate events, hours may be combined for a full day approximately once a month. There may also be an opportunity for a qualified candidate interested in full-time work.

QUALIFICATIONS

Required:

  • Outstanding interpersonal, written, and verbal communication abilities.
  • Exceptional organizational skills with a keen eye for detail to enhance our outreach.
  • Capability to manage multiple projects and maintain focus with minimal supervision.
  • Proven ability to build relationships and connect individuals with shared interests.
  • Dedication to education and a strong commitment to the mission of BEST NC.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Bachelor's degree or equivalent professional experience.

Preferred:

  • Prior experience in administrative support or customer relations.
  • Familiarity with Salesforce or similar contact management systems.
  • Experience with Quickbooks Pro, Constant Contact, and Eventbrite.

COMPENSATION & BENEFITS

Compensation ranges from $23,000 to $32,000 annually ($22 to $25 per hour) for part-time work.

This is a part-time role, but there may be opportunities for a strong candidate who prefers full-time employment. Part-time benefits include paid vacation leave, holidays, flexible work hours, and access to various benefits through Aflac.
