Overview
The role of a Purchasing Coordinator involves establishing and nurturing productive relationships with suppliers and manufacturers to ensure a consistent supply of materials. This position requires collaboration with Project Managers and Warehouse Staff to ascertain the quantity and type of materials necessary for various projects or inventory, ensuring timely delivery.
Key Responsibilities
- Engage with vendors and manufacturers to identify the most suitable options for procurement.
- Ensure that the quotations received align with project budgets, maintaining financial efficiency.
- Manage extensive documentation related to purchasing, demonstrating proficiency in administrative tasks.
- Conduct research to compile a list of potential suppliers.
- Create and dispatch purchase orders, confirming accuracy in amounts and pricing.
- Collaborate closely with the Director of Purchasing, Department Heads, and Project Teams.
To excel in this position, candidates must meet the following criteria:
- Education: Bachelor’s degree or equivalent relevant experience.
- Experience: Minimum of 3 years in an administrative or purchasing capacity.
- Understanding of business principles and office protocols.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Ability to work autonomously as well as collaboratively.
- Self-driven and proactive approach.
- Strong communication skills, both verbal and written.
- Experience in managing vendor relationships.
- Document management and filing expertise.
- Focus on process improvement and documentation accuracy.
- Meticulous attention to detail.
- Effective time management and organizational skills.
- Analytical and inquisitive mindset.
- Review and process documents submitted for purchasing by Operations.
- Organize vendor documents and ensure alignment with purchase orders.
- Investigate and rectify invoices lacking purchase order references.
- Support the Director of Purchasing with daily procurement activities.
- Ability to stand, walk, bend, and sit at a desk.
- Capability to lift items weighing up to 40 lbs.
- Proficient in typing and operating standard office equipment regularly.
