Position Overview

The role of the Front Desk Office Coordinator is pivotal in creating a welcoming atmosphere for patients. This position demands exceptional communication abilities and a strong focus on customer service. The Front Desk Coordinator is the first point of contact for patients, ensuring they are greeted warmly and feel at ease. Maintaining a professional appearance and a calm demeanor is essential, especially when addressing sensitive matters.

Key Responsibilities

  • Facilitate patient check-ins, generate medication lists, and distribute necessary documentation.
  • Process co-payments and manage outstanding balances, including setting up recurring payment options as required.
  • Prepare daily schedules in advance to ensure accuracy and inform patients regarding payment plans.
  • Record all financial transactions and discrepancies, submitting reports to management at the end of each day.
  • Verify and update patient demographic information as needed.
  • Input all relevant patient data into the designated Electronic Health Record (EHR) system.
  • Ensure all patients sign necessary agreements, including Opioid contracts.
  • Digitally archive paperwork into appropriate systems.
  • Confirm patient appointments and send out referral correspondence.
  • Obtain procedure cost estimates as required.
  • Handle incoming calls and regularly check for messages across various communication platforms.
  • Maintain current HIPAA compliance information within patient records.
  • Keep the reception area, waiting room, and workstations organized and professional.
  • Uphold patient confidentiality at all times.
  • Perform additional duties as assigned.
  • Travel may be required as necessary.

Qualifications

  • High school diploma or equivalent.
  • At least one year of experience in a customer service role.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
