Position Overview

The role demands exceptional interpersonal skills and a commitment to customer satisfaction. The Front Office Administrative Associate acts as the primary contact for all incoming patients, ensuring they are warmly welcomed and appropriately attended to. It is essential for the individual to maintain a professional appearance and demeanor, exhibiting a calm and composed attitude when addressing sensitive matters.

Key Responsibilities

  • Facilitate patient check-ins, generate medication lists, and distribute necessary documentation.
  • Process co-payments and manage outstanding balances, including setting up recurring payment arrangements as required.
  • Prepare the daily schedule in advance to ensure accuracy of balances and inform patients regarding payment plans.
  • Record all financial transactions and discrepancies in the schedule, submitting reports to management at the end of each day.
  • Confirm patient demographics and update records as needed.
  • Input all relevant patient information into the designated Electronic Health Record (EHR) system.
  • Ensure all patients sign necessary agreements and contracts.
  • Digitally archive paperwork into the appropriate systems.
  • Verify and confirm patient appointments.
  • Draft and send referral correspondence.
  • Obtain procedure cost estimates as required.
  • Manage incoming calls and routinely check for messages across various communication platforms.
  • Maintain current HIPAA compliance information within patient records.
  • Consistently uphold a tidy and professional reception area and workstation.
  • Safeguard patient confidentiality at all times.
  • Perform additional duties as assigned.
  • Travel may be required as necessary.

Qualifications

  • High school diploma or equivalent required.
  • At least one year of experience in a customer service role.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
