About the Role

Switchgear Solutions, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to our various departments and functions. The ideal candidate will be efficient, skilled in developing and maintaining workplace and customer relationships, and able to work independently and as part of a team.

Key Responsibilities
  • Provide administrative support to ensure efficient office operations, including maintaining digital and physical filing systems, answering phone calls, and directing callers to appropriate personnel.
  • Support calendar appointments shared with senior staff, assist clients and visitors, and work with sensitive information with discretion to maintain confidentiality and security.
  • Respond to emails and digital queries, use word processing and presentation software to draft and edit letters, reports, and other documents, and input and update information in databases and spreadsheets.
  • Prepare meeting agendas and take meeting minutes, coordinate logistics for meetings and company special events, and operate and replenish consumables in office equipment.
  • Work with maintenance staff and outside vendors to ensure office equipment is in good working order, and assist the HR Manager in the distribution, collection, and processing of documents relating to benefits, onboarding, leave requests, and HR policy.
  • Assist the Planning Team in making travel arrangements, assist the Purchasing & Maintenance Teams in managing inventory and ordering office supplies, and research and summarize information for reports or presentations.
  • Present a positive and professional image for the organization, and adapt to changing priorities to ensure deadlines are met.
Requirements
  • 2+ years of administrative experience preferred, with an associate's degree in Business Administration or a related field.
  • Proficient in the use of Office 365 Suite of products, with experience in taking filing systems paperless a plus.
  • Excellent written/typed and verbal communication skills, with excellent organizational, prioritization, and time management skills.
  • Experience in QuickBooks, ADP, and other software a plus, with knowledge of administrative procedures and thorough attention to detail.
  • Able to work independently and as part of a team, with strong problem-solving skills and a willingness to submit to the background and drug screening process.
